Attendance

KWYO students are expected to attend all rehearsals, dress rehearsals, and concerts, as full participation is essential to the musical growth of each student and the success of the orchestra. Absences should be rare (maximum of two per term) and limited to unforeseen circumstances or health-related reasons. All absences must be reported to the Program Manager as soon as possible. If a student or parent/guardian anticipates a scheduling conflict, please notify the Program Manager in advance.

Punctuality

Students are expected to arrive on time – 15 minutes before rehearsals and 30 minutes before dress rehearsals and concerts. Musicians should be seated with instruments ready, and all music, parts, and pencils prepared on their stands prior to the scheduled start time so rehearsals can begin smoothly and efficiently.

KWYO Code of Conduct

KWYO is committed to providing a safe, welcoming, and productive environment for all students and staff. Students are expected to behave respectfully and contribute positively to the ensemble community.

Any incidents of harassment, bullying, abusive behaviour, physical violence, or discriminatory language or conduct reported to staff will be addressed promptly and may result in disciplinary action, up to and including removal from the program without refund.

All musicians are expected to remain attentive and engaged during KWYO activities. To maintain a focused rehearsal environment, the use of cell phones during rehearsals, dress rehearsals, and performances is not permitted.

Scholarship Program

KWYO is partnering with the KW Symphony Volunteer Committee offering a wide range of scholarships recognizing students who demonstrate excellence, commitment, and active participation in the program. The Scholarship Ceremony takes place following the final concert of the season and is hosted by the KWSVC Scholarship Conveners.

Bursary Program

KWYO strives to make participation accessible through limited financial assistance and flexible payment plans for families demonstrating financial need. Assistance requests are reviewed on a case-by-case basis. Families wishing to inquire may contact the Program Manager at kw.community.yo@gmail.com.

Privacy Policy

We are committed to protecting the privacy of our students and families in accordance with Canadian privacy laws, including PIPEDA. We collect only the personal information necessary for registration, auditions, program administration, bursary applications, communication, and student safety. Access to this information is limited to authorized staff who require it to perform their duties.

Volunteering with KWYO

The participation of parents, guardians, and students is essential to the success of KWYO. We offer a range of volunteer opportunities and rely on family involvement to support the safe and smooth operation of our programs. Volunteering is a valuable way to contribute to the KWYO community and set a positive example. High school students may also earn community service hours for their volunteer contributions.
